From Business Customers (Account Holders):

  • Name, email address, phone number
  • Business name, business type, website URL
  • Payment information (processed securely by Stripe)
  • Knowledge base content you provide about your business
  • Chatbot configuration preferences

From Website Visitors (End Users of Chatbots):

  • Name, email address, phone number (when voluntarily provided during chat)
  • Chat conversation content
  • Service interests and appointment preferences

3. How We Use Your Information

We use collected information to:

  • Provide and maintain the HiredReply AI service
  • Process AI chatbot conversations and generate responses
  • Capture leads and book appointments on behalf of our business customers
  • Send transactional emails (booking confirmations, lead notifications)
  • Send automated follow-up communications to leads on behalf of businesses
  • Process payments and manage subscriptions
  • Improve our service and develop new features
  • Communicate with you about your account or the service

4. Data Sharing

We do not sell your personal data. We share information only with:

  • Service Providers: Stripe (payments), Supabase (database hosting), Anthropic (AI processing), Resend (email delivery), Twilio (SMS delivery)
  • Business Customers: Website visitor data (name, email, phone, conversation content) is shared with the business whose chatbot the visitor interacted with
  • Legal Requirements: When required by law, court order, or governmental authority

5. Data Storage and Security

Your data is stored securely on servers hosted by Supabase (cloud infrastructure). We implement industry-standard security measures including encryption in transit (TLS/SSL), secure authentication, and access controls. Payment information is processed by Stripe and is never stored on our servers.

6. Data Retention

We retain your data for as long as your account is active or as needed to provide you with the Service. If you cancel your account, we will delete your data within 90 days, except where we are required to retain it for legal or compliance purposes. Conversation data and lead information are retained for the duration of the business customer's subscription.

Depending on your location, you may have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data
  • Object to or restrict certain processing of your data

8. Communications and Opt-Out

We may send you transactional emails related to your account and the Service. For automated follow-up emails sent to leads on behalf of businesses, recipients can opt out by clicking the unsubscribe link in any follow-up email or by replying STOP to SMS messages. Business customers can manage their follow-up settings through their dashboard.

9. Cookies and Tracking

The HiredReply AI website uses essential cookies for authentication and session management. Our embeddable chat widget does not use cookies or tracking technologies on your visitors' browsers.

10. Children's Privacy

Our Service is not directed to children under 13. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact us and we will delete it promptly.
